The API Integration Takes Two Weeks. You've Spent Two Years Doing It Manually

The API integration between your accounting and your inventory would take two weeks to build. You've spent two years doing it manually instead. Two years. That's roughly 500 working days of someone in your company opening two tabs, looking at one screen, typing into another screen, and hoping they don't make a mistake. Two weeks of development work would have eliminated 498 of those days. A retail company in Dubai Mall had this exact situation. Their inventory software and their accounting software sat on the same server. Same network. Same office. But they couldn't talk to each other. So every evening, someone exported a CSV from the inventory system, reformatted it in Excel, and imported it into the accounting software. Forty five minutes. Every. Single. Day.

Why Two Years?

The retail company wasn't stupid. They knew the integration was possible. They'd even gotten a quote from their original software vendor. AED 65,000 and a 4 month timeline. That quote killed the project instantly. Too expensive. Too long. We'll keep doing it manually.

This is the trap. Vendor quotes for integrations between their own products are inflated because they know you're captive. You already use their software. Your data is inside their system. They control the pricing conversation.

An independent custom software team doesn't have that power over you. We build the integration using the same APIs the vendor would use. Same result. Different economics. The AED 65,000 quote became a AED 14,000 project because we weren't bundling it with license upgrades and support packages.

The Manual Process Tax

Every manual process between two software systems has a compounding cost. Day one, it takes 45 minutes. But over time, the data volumes grow. The complexity increases. New product lines mean new mapping rules. Staff turnover means retraining. That 45 minutes becomes an hour. Then 75 minutes. Then someone suggests hiring an assistant for the person doing the data transfer.

The retail company's evening import was already showing strain. During peak season, the data volume doubled and the 45 minute process stretched to 2 hours. The person doing it started making more errors under time pressure. Those errors meant morning reconciliation issues that consumed another person's first hour of work.

By the time they called us, the true cost of the manual process wasn't 45 minutes per day. It was closer to 2 hours per day when you counted error correction, reconciliation, and the management overhead of checking the work. Annual cost: approximately AED 67,000.

The Two Week Math

Most API integrations between common business software take between 5 days and 20 days to build. The median for a straightforward accounting to inventory connection is about 10 days. Cost ranges from AED 8,000 to AED 25,000 depending on the complexity of the data transformation.

Before you authorize the project, do this math. Take the daily time cost of your manual process. Multiply by 250 working days. That's your annual manual cost. Compare it to the one time integration cost.

In most cases, the integration pays for itself in 2 to 4 months. Everything after that is pure savings. And unlike the manual process, the integration doesn't get more expensive as your data grows. It just handles more volume at the same speed.

Your Integration Audit

List every place in your company where someone manually moves data between two systems. System A to System B. Daily, weekly, or monthly. Time per transfer.

You'll find between 3 and 8 of these in a typical 30 person Dubai company. Each one is a business automation project measured in days, not months. Each one costs thousands per year.
